eduCRM’s asset referencing feature answers that question directly. It’s a simple but powerful capability offering precise control over how Active Intelligence interacts with your campaigns, automations, and templates—eliminating guesswork and delivering more accurate results every time.

The Problem with "Close Enough"

If your team has been building campaigns in eduCRM for more than one academic cycle, you’ve almost certainly accumulated assets with similar names. For example, “Fall Inquiry Email 2024” and “Fall Inquiry Email 2025.” “March 2024 News” or “Annual Campaign Kickoff 2025.” 

When you prompt Active Intelligence using only a typed name, the platform does its best to match your request to the right asset. But best-effort matching isn’t the same as exact matching.

In a library of similarly named campaigns and automations, the margin for error is real. The last thing your team needs mid-cycle is to pull insights from last year’s campaign instead of this year’s.

Asset referencing solves this by anchoring every prompt to a unique asset ID. When you reference an asset directly, Active Intelligence knows exactly which item you mean — not which one it thinks you mean.

Asset Referencing

Active Intelligence currently supports the following asset types:

  • Past email campaigns—Analyze performance, troubleshoot low engagement, or use a previous campaign as the foundation for a new one.
  • Custom email templates—Reference a specific template when building or refining campaign content.
  • Automation workflows—Review, edit, compare, or optimize specific automations without ambiguity.
  • External files (PDF or DOCX)—Upload supporting documents such as messaging guides, program fact sheets, or a giving campaign brief to inform content generation.
  • External URLs—Attach your institution’s website, a program landing page, or any relevant URL so Active Intelligence can scan and incorporate that content directly.

Additional asset types are on the roadmap, so this capability will only grow more valuable over time.

Three Ways to Reference a Communications Asset

eduCRM makes it easy to add assets to your prompts. Here’s how each method works:

The “@” Symbol

In the prompt field, type “@” and a menu of asset categories will appear. Click a category to browse, or keep typing to narrow your search. Select the asset you want, and it will appear as a visual tag in your prompt—a clear confirmation that Active Intelligence knows exactly what you’re pointing to.

The “@ Add Context” Button

Prefer a more guided experience? 

Click the “@ Add Context” button directly in the prompt field. From there, select a category, browse or search for your asset, and click to add it. Same result, different path—use whichever approach fits your workflow.

The Paperclip Icon (for Files and URLs)

To attach an external file or URL, click the paperclip icon in the prompt field. Choose “Upload a file” to add a PDF or DOCX from your computer, or select “Attach a URL” to link to a webpage. Either way, the asset will appear as a visual tag confirming it’s been added to your prompt.

You can add more than one asset to a single prompt, and you can remove an asset before submitting by pressing the Backspace key.

Refer to the specific automation and give Active Intelligence clear instructions. No hunting through similar workflow names, no uncertainty about which sequence is being modified.

Build New CampaignsBuilding New Campaigns from Existing Ones: Reference a high-performing campaign from a previous cycle and ask Active Intelligence to use it as a starting point for this year’s version — updated with new dates, program details, or messaging priorities.

Incorporate External ContentIncorporating External Content: Attach a PDF of your new scholarship guide or link to a program landing page, then ask Active Intelligence to draft an email campaign that highlights key information. The AI works from your actual content, not assumptions.
